KORDAN

Back-Office Operations

Move repetitive operations without losing control.

Internal teams often spend expensive time on structured administrative work that can be documented and managed elsewhere. Kordan builds a dedicated team to run it, with the controls that make handing it over safe.

Capabilities

Process-driven work, handled precisely.

Back-office teams are trained on your procedures and systems, and work to the accuracy standard you set.
  • CRM maintenance

Record updates, deduplication, enrichment and data hygiene.

  • Document processing

Intake, checking, classification and filing against defined rules.

  • Data entry

Accurate, verified entry across your systems and formats.

  • Order processing

Order entry, amendments, status updates and exception handling.

  • Invoice handling

Invoice intake, matching, coding preparation and follow-up.

  • Account administration

Account setups, changes and closures according to procedure.

  • Claims administration

Claim intake, document checks and status management.

  • Spreadsheet & database work

Structured updates, reconciliation support and maintenance.

  • Reporting support

Preparing recurring operational reports from your data.

Control

Handing work over shouldn’t mean losing sight of it.

The controls around a back-office operation matter as much as the people doing the work.
  • 01

    Documented workflows

Every process is written down as a step-by-step procedure before it moves, including exceptions and who decides them.

  • 02

    Controlled access

Individual accounts with only the permissions each task needs, approved by you and removed promptly when no longer required.

  • 03

    Accuracy checks

Completed work is sampled and checked against the procedure. Error patterns lead to retraining or clearer documentation.

  • 04

    Reporting

Throughput, turnaround, backlog, accuracy and open exceptions, reported on an agreed cadence.

  • 05

    Accountability

A named Kordan owner for the operation, with defined escalation paths for anything outside the procedure.

Is it a good fit?

What transfers well.

Not every process is ready to move. These signals usually mean it is. Where documentation is missing, we help create it during discovery.
  • The work repeats daily or weekly at a meaningful volume
  • Decisions follow rules that can be written down
  • The systems involved can be accessed remotely and securely
  • Output can be checked for accuracy
  • Expensive internal people are currently spending time on it

Transition

Responsibility moves in stages.

Work is handed over gradually, verified at each step, so quality is established before volume grows.
  1. Stage 01

    Document

We capture the current process, exceptions and quality standard with the people who do the work today.

  2. Stage 02

    Pilot

A controlled start on a defined slice of volume, with close checking against the documented standard.

  3. Stage 03

    Verify

Accuracy and turnaround are reviewed with you before responsibility widens.

  4. Stage 04

    Scale

Volume and scope expand once the process is stable and measured.

Commercial model

Every operation is different.

We scope teams around your requirements and provide a clear monthly commercial structure before launch: a dedicated team, a defined scope, agreed coverage and clear responsibilities on both sides.

FAQ

Back-office questions.

Can we use our existing CRM or helpdesk?

In most cases, yes. Teams typically work inside the systems you already use, with individual user accounts that you control. We confirm system access, permissions and any tooling requirements during solution design.

How do you handle quality assurance?

We agree quality criteria with you, then review a sample of interactions and completed work against them. Findings feed individual coaching and, where patterns emerge, updates to training and documentation. QA results are included in regular reporting.

What kind of back-office work is a good fit?

Work that is repeatable, rules-based and documentable tends to transfer well: data entry, CRM maintenance, order and invoice processing, document handling and account updates. Work that relies heavily on undocumented judgment usually needs documentation first, and we can help with that during discovery.
